Ask TUAW: Syncing folders, hard drive problems, reinstalling OS X, and more
For this go-around of Ask TUAW we're taking questions about moving an iTunes library between user accounts, dealing with a misbehaving Western Digital external hard drive, syncing folders containing sensitive information, reinstalling OS X without losing iLife, and more.As always, your suggestions are welcome. Questions for next week should be left in the comments. When asking a question please include which machine you're running and which version of Mac OS X (we'll assume you're running Leopard on an Intel Mac if you don't specify). And now, on to the questions!

How can I make a certain file-type in OS X open in a certain program? ie. I want MP3 files to open in VLC and not in iTunes or something.
Since we constantly have new users and readers for Ask TUAW, we occasionally will revisit questions like this one. All you need to do to change the default file handling is select a file in the Finder and then Get Info (⌘+I). In the "Open with:" section change it to VLC and then be sure to click the "Change All..." button. Now all your MP3s will open with VLC.

I have a mac mini at work and a macbook that I use both at home, at work and everywhere else. I have one folder where I keep all my written work (reports etc) on my mac mini that I would like sync'd to my macbook. This should be simple to solve but the problems comes in that the work is quite sensitive and absolutely cannot be stored on a third party server, so that rules out dropbox etc. I can sync when the macbook is on the work network and I have looked at cronosync but for the application and 1 agent it's $50, a bit steep for syncing one folder!
If you're content to sync only at work there are other, less expensive options besides ChronoSync, such as Martian Slingshot ($29.99) that are just about as easy to use. If you're a bit more hands-on you could try an rsync implementation for free, though I'd suggest going with the open-source arRsync GUI.
Depending on just how sensitive that data is, you might still consider something like Dropbox (which I use all the time) by having an encrypted disk image. Using Disk Utility you can create a password-protected DMG. You can then put that DMG in your Dropbox, mount it on your work machine and save all the documents there. However, for this to work properly I believe you have to unmount the image before Dropbox can sync the data. The Dropbox wiki has some more suggestions regarding block-based encryption.

I have a Western Digtal 500GB external hd. Both firewire and USB. I partitioned the drive into two partitions. But now when I connect the hd, only one partition shows up. I tried both the USB and Firewire and it's the same. When I connect the hd to a windows computer, sometimes both partitions show up and sometimes only the one. What's going on and how can I fix this problem? I'm so frustrated that I'm about to buy a new hd!
There may actually be some hardware problem with the drive itself, but before replacing it I would suggest trying the following:
- Backup any important data on the drive immediately.
- You could first try using the Disk Utility (in /Applications/Utilities) to examine the drive to see if it can see both partitions, even if one of them is not mounting.
- I'd then use Disk Utility to repair the partitions. If that doesn't work I'd suggest reformatting the entire drive using Disk Utility and re-merging the partitions.
- I use a WD My Book drive myself, and I have found it to be more reliable since installing the WD Drive Manager (though be sure to get the correct one for your particular drive).

I just got back my old 800MHz Titanium PowerBook G4 that I have been letting my roommate borrow for the past 2 years. I already have an iMac and a MacBook so I am looking to do something interesting to repurpose this machine. Any tips on the best way to incorporate this into an entertainment center? Or do you think there may be a better use for this machine? It is running 10.4 because the system requirements of 10.5 will not allow it to install on the machine.
Unfortunately, I don't think a machine of this vintage will make a satisfactory media center machine, because it's under-powered. For instance, although there is a PowerPC build of XBMC, it requires a minimum of OpenGL 1.4, while the Mobility Radeon 7500 in your PowerBook seems to be limited to OpenGL 1.3. Other applications like Plex and Boxee are Intel only. In short, I don't really think it's going to have the horsepower to be a good video playback machine.
On the other hand, it would probably work just fine as a home media / backup server. Basically, you could hook some external hard drives to it (preferably by FireWire) and use as Network Attached Storage for backup, etc. or even as something like an iTunes server.

I have a question. I want to do a clean install, but the last time i did i lost all of iLife since that is the only applications that i don't have any kind of disc or file to install them. How would i do a clean install, yet still be able to retain or reupload iLife?
If you do an Archive & Install it should not affect your iLife installation (though Apple warns that it might). In any case, you should have the iLife applications on the installation discs that came with your computer, which you can use to re-install iLife. If you don't have these discs then the best you can do is try the Archive and Install and hope that it doesn't affect the iLife apps.

One of my profiles on my MacBook Pro has been beachballing really badly lately. I had heard one thing to try is to set up a new profile to see if it runs any better. Well I did -- and it does. So I want to effectively remove my old profile and copy my files and such over to my new profile. Is there any easy way to do this? Particularly, is there an easy way to move my iTunes library (songs, ratings, playlists, etc) over to the new profile?
I assume that what you mean by "a new profile" is a new user account. All you have to do is copy over the ~/Music/iTunes folder between the accounts. However, this is not simply a matter of drag and drop, because neither user will have access to the other's home folder. The easiest thing to do would be to copy the ~/Music/iTunes folder to the ~/Public folder of the first account, then log out and onto the new account. Start iTunes in the new account and then quit it.
Finally, copy the iTunes folder from the first account's Public folder to the new account's Music folder, replacing the ~/Music/iTunes folder that should already be there. When you start iTunes again, it should automatically update the Library for the new account. If it doesn't read all the music correctly, you might have to update the permissions on the iTunes folder -- select the folder, choose Get Info from the File menu in the Finder, and make sure that the new user is listed as the folder owner under Sharing & Permissions at the bottom of the Get Info window.
If you're comfortable with the Terminal you can do this in one step by using a sudo mv command, but if you know what that is, I needn't explain it, and if not, I'd just do it the two-step process above with the Finder.
Before you do any of this, I highly recommend having a backup of the entire ~/Music/iTunes folder.

Is there a way of getting a link from finder to a specific file that I can then send to someone? At work we run from a shared drive with all our project files on it and it'd be really nice to be able to email/IM a link to a file. If I remember right, you can do that in Windows but I've tried all sorts of things in OSX and I can't get anything to work.

Hey, I have a question about my iPhone battery. Sometimes it will lose all charge (down to 10%) two hours after I leave my house and its charger. What could be causing this "battery diarrhea" and how can I fix it?

I have a bit of mess with regard to an iTunes library. I used to use an iMac as my primary, and now my iMac is my when I need it machine. My MacBook is my everywhere everything machine. I moved my iTunes library to an external hard drive. As well as all of the files and folders in my ~. Now, I had always stored my iTunes files on an external, I just told iTunes to go to that Volume, under /iTunes to find the files. However, now I have an iTunes folder from the iMac HDD that I want to copy to my ~ on my MacBook, and I have the iTunes folder in the root of my External. Both ended up having files in them, now correct my if I'm wrong but Copy over writes the entire directory with OS X right? I want to sync them, but I don't want to loose anything. What recommendations for a preferably free file sync tool does TAUW have for someone in my position? I'm out of ideas and haven't found much help anywhere else.

I currently have a Macbook (white) and I will be moving in the not too distant future in a new house. I want to set up a home network that will include a media server to feed music and images to a flat screen TV using a mac Mini and I'm planning on acquiring a 24" iMac as my main computer. The house will feature network plugs in all the rooms. What do I need to make all those computers work together seamlessly?
One question I have is you know the feature in Microsoft Word where you can click to have a new window and now your Word document is in two windows?
Can I do that Preview? There are many times when I would want to see a pdf in two windows and the only way I've been able to accomplish this is to duplicate the pdf and open both files (that now have different filenames).
I've looked through help and all through the program and I cannot find any such functionality. Perhaps I need Adobe Acrobat for this?

Is it possible to hold all of the source iTunes files within the shared realm of the computer while keeping the iTunes library (playlists, play counts, loaded files, synced iPods/iPhones) within the user realm? I would like to have two users on a single computer have separate iTunes, but not have two copies of every song, movie, or TV show.
The same question for iPhoto.

Like the question above, all you have to do is go into ITunes Prefs in the account with all the music and turn "ON" Sharing. Then in the account without the music, go into iTunes Prefs and subscribe to the other accounts' music library. The procedure is virtually identical with iPhoto as well.
One thing I forgot to mention in the above comment, though, is that the Mac & user account hosting the music or photos will need to be on and logged in with iTunes or iPhoto active. Cheers!

Okay I have a mini-problem: Is there a quick way to disable the screen mirroring/extension?
I have an external monitor hooked up to my Early 2008-MBP via DVI set to extend my display.
Now the problem is that I also use the HDMI in on this monitor to play on my PS3, so I can switch inputs. Except OS X doesn't detect that I'm no longer using the DVI and keeps extending the display.
Someone suggested turning on mirroring, which works fine in theory, but the monitors a different aspect ratio so I get bars on my MBP screen.

i just recently got a 2.4GHz macbook. i still have a pc desktop, and will likely stay that way until i save up enough for the mac desktop and the pc dies (hopefully in that order).
anyway, in the meantime, my itunes library is on the pc, and it needs to be able to stay there as well, as it's a central pc in the house used for music, etc. but i'd like to have my itunes library on the laptop, too. i can copy it across my network ok, but i was ideally wanting to create an automator task that could log in to my pc, check my itunes folder for updates and copy them to the mac (so i'm not constantly having to manually transfer stuff).
any thoughts or alternative ideas (some other syncing methodology)?
There are folder syncronizing apps that can do this for you, but I don't know if any of these work cross-platform between Mac & Windows. Rather than attempting to maintain two iTunes Music Folders, how about simply turning Music Sharing "ON" in the iTunes Preferences? Then you can accessing the complete library over your network, including all the playlists and such. Works great for our household of 3 Macs and 1 Apple TV. All I have to do is maintain one Music Library.

Are there any solutions to this? As trivial as it may seem it might be the only factor from making the transition to a Mac. Thanks

It will not, normally, however, occupy the space by the Mac Menubar, which is ever-present in most applications at all times.
Exceptions to this are, e.g., when in a web browser like Safari or Firefox, and you set a Flash (such as YouTube) or Silverlight or QT movie to 'Fullscreen'; in this rare use, the menubar will disappear; also, watching DVDs, iTunes videos, Visualizer, and the like can also go 'Fullscreen'.
What I think you might be experiencing and trying to describe, however, is the Windows-expected behavior of the 'maximize' button; i.e., when you press the green 'Zoom' button in say, a Finder or Mail window, or you expecting it to consume all available screen space? Because the Mac behavior is to simply make the window only as large as it need be, either vertically, horizontally or both, to display the contained information.
If you want the Mac OS Green 'Zoom' (read: 'expand') button to take up fullscreen each time you press it, some Mac programs will respond to Option-clicking the green Zoom (read: 'expand to maximum') button; and will indeed fill the whole screen, or it might just make it bigger than it would have otherwise.
Regardless, you need only grab the drag point in the lower right corner to expand as you like. Not always convenient, I know.
( I will say that one thing I miss from the older versions of Mac OS, and what Windows still does right, is to allow you to both move and size a window from any edge or any corner. I have submitted this as a feature request over and over and over to Apple, but the aesthetics of shadowed, borderless windows seem more important to Apple and Steve.)
There are also a few third party utilities which will override the default 'expand' behavior and replace it with 'expand to maximum' or even 'expand to defined', meaning, you can define the desired "maximized" window size in each application.
